Nueces Innovation Labs

Privacy Policy

Effective Date: September 26, 2026

Last Updated: September 26, 2026

Nueces Innovation Labs ("we," "us," or "our") is a 501(c)(3) nonprofit organization. This Privacy Policy explains how we collect, use, share, protect, and delete personal information through www.nueceslabs.org, forms we operate, and our nonprofit programs, including the Uvalde County Science Fair.

Information We Collect

Information you provide. Depending on your interaction with us, we may collect your name, email address, telephone number, school or organization affiliation, and information included in messages, volunteer inquiries, donation correspondence, or other communications.

Science fair information. Parents or legal guardians may provide student names, grade levels, school information, project titles and IDs, project plans and submissions, safety information, supervision plans, signatures, consent choices, and other information requested on registration forms. We may also receive information needed to respond to an accommodation request. Please provide only information relevant to the request.

Letter delivery. Our participation-letter form collects the email address you enter so that we can send the letter automatically. Submitting this form does not register a student or subscribe you to a newsletter.

Technical information. Our website and form providers may automatically collect information such as IP address, browser and device details, pages visited, access times, referring pages, and security or CAPTCHA activity. Technical identifiers can be personal information even when they do not include your name.

How We Use Information

We use information to provide requested materials; respond to questions; review project eligibility and safety; administer registration, judging, and awards; communicate event instructions; coordinate volunteers and program support; document permissions; arrange accommodations; and support participant safety. We also use information as needed to operate and protect our website and forms and meet applicable legal requirements.

We send the participation letter in response to your submission. Families who separately submit project or registration forms may receive communications needed to administer their participation. Any optional newsletter or other mailing-list enrollment will be presented separately. You may ask to stop optional communications by contacting us.

How We Share Information

We do not sell or rent personal information. We limit access to people who need information for their assigned responsibilities, such as authorized organizers, safety reviewers, volunteers, and judges. Project presentations for judging and display use project IDs rather than student names; identifying registration information is maintained separately. Families should not include names, faces, or other identifying details in project presentations.

We use service providers to support website hosting, forms, email delivery, file storage, and security. These include Squarespace for our website, Jotform for forms and automated delivery, and hCaptcha where displayed. We may share information with these providers as needed to perform those services. Providers may also process technical information for their own security or operational purposes under their privacy policies.

We may disclose information when required by law, a valid legal process, or a legally required safety report. We may also share information with your permission for a purpose explained when that permission is requested.

Children and Adult Submissions

Our website and forms are intended for parents, guardians, educators, and other interested adults. Adults should enter their own contact information. A parent or legal guardian must complete student registration and consent forms. We collect information about participating children from adults as needed to administer the science fair; this is different from inviting children to submit personal information directly.

If you believe a child has submitted personal information directly through a form intended for adults, contact support@nueceslabs.org. We will review the situation and take appropriate steps, including deleting improperly submitted information where appropriate or required.

Photographs and Publicity

Any use by Nueces Innovation Labs of identifiable student photographs, recordings, names, or other materials for publicity will follow the permissions obtained from the parent or legal guardian. Requesting the participation letter does not provide permission for student publicity. Questions about permissions or removal requests may be sent to support@nueceslabs.org. We cannot retrieve printed materials or copies independently saved or shared by other people.

Data Retention and Deletion

Nueces Innovation Labs will delete personal information collected for the Uvalde County Science Fair after the event, except for records that must be retained to meet applicable legal requirements. This includes personal information in letter-delivery submissions, registration records, project materials, correspondence, and saved or downloaded copies under our control. Records subject to a legal retention requirement will be restricted to that purpose and deleted when the requirement ends.

We will use the deletion controls available in our service-provider accounts and request provider assistance when needed. Provider backup copies and independently maintained technical or security records may remain subject to the provider’s own retention and deletion schedules. Our deletion commitment does not guarantee removal of copies outside our control.

Personal information from other nonprofit activities, such as general inquiries, volunteering, and donation administration, is retained only as long as reasonably necessary for the purpose for which it was collected and any applicable legal recordkeeping requirements. We may retain aggregate statistics that do not identify individuals, such as overall participation counts.

Website Cookies and Third Party Services

Squarespace and services used by our forms may use cookies or similar technologies for site operation, preferences, usage measurement, and security. The data collected depends on the features you use and the settings enabled. You can manage cookies through your browser and any cookie controls provided on the website. Restricting cookies may affect some functions.

You can review the providers’ policies at www.squarespace.com/privacy, www.jotform.com/privacy, and www.hcaptcha.com/privacy. Links to documents hosted on Google Drive and other external services take you to services with their own privacy practices. This policy describes our practices and does not replace those providers’ policies.

Nueces Innovation Studio and StoryWorks

Nueces Innovation Labs is separate from Nueces Innovation StoryWorks, LLC, which develops Nueces Innovation Studio. Use of the Studio is governed by the policies and terms presented by that service. This nonprofit policy covers information Nueces Innovation Labs receives for science fair administration, including project materials submitted for review through an authorized Studio workflow. A link or reference to StoryWorks or the Studio does not automatically extend this policy to all of their services.

How We Protect Information

We use reasonable administrative and technical measures to protect personal information, including limiting access to authorized people and using password-protected accounts. No website, email service, or storage system can guarantee complete security. Please do not send Social Security numbers, payment-card details, or unrelated sensitive information through general contact forms or email.

Your Questions and Requests

You may contact us to ask what personal information we hold about you or your child, request a correction or deletion, or ask us to stop optional communications. We may need to verify your identity and, for a child’s information, your authority to make the request. We will handle requests in accordance with applicable law and explain any limitation, such as a legally required retention period. Deleting information needed for an active registration may affect our ability to administer that participation.

Changes to This Policy

We may update this policy to reflect changes in our programs, services, or legal obligations. We will post the updated policy and revise the Last Updated date. For material changes affecting how previously collected personal information is used, we will provide any additional notice or obtain any consent required by applicable law.
